Before you promise another restaurant delivery
A chef asks for 48 oz of radish this Friday. Type it in the Order Check on Today: the file counts the trays you would need, your sow-by date under your own grow times, your rack space for each day of the grow, and the seed you have on hand. It answers YES (with the day to sow), TOO LATE, RACK SHORT or SEED SHORT, says why, and searches for the first delivery date that fits your entered numbers and checked constraints, within the next 30 days. The check never changes your plan: if the customer agrees, add the order on Orders. Every standing and extra order then becomes trays with a sow-by date, a soak time, lights-on and harvest days. Each morning, Today lists what to soak tonight, what to sow and harvest today, the seed to weigh, any delivery that is too late or short and who to tell. Record lost trays on Batches. If they leave a shortfall, the Sow Plan and Today show the affected delivery and customers.
The checks are only as complete as the numbers you enter: grow times, yields, seed rates and your space are your own figures, and a space box you leave empty is not checked.
How it works
- SettingsFarm name, weights (oz and lb, or g and kg), harvest days before delivery, the extra buffer, your delivery and sowing days, and your growing space (light, blackout and stack tray positions). In Google Sheets, once, on a computer: File > Settings > Locale and Time zone.
- CropsSoak hours, stack, blackout and light days, yield per tray and seed per tray: your own numbers. Seed on hand is optional.
- Customers and standing ordersEvery week, or every 2-4 weeks, from a first delivery day. Extras, skips and changes go on Orders.
- Every morning: TodaySoak tonight, sow today, harvest, seed to weigh, what is too late or short and who to tell, any space conflict.
- A new order? Check it firstYES, TOO LATE, RACK SHORT or SEED SHORT, why, and the next possible delivery date when one is found. If you take it, add it on Orders.
- Batches and delivery dayOne line per sowing; after harvest, the date and the usable weight on the same line. On delivery day, print Deliveries: the harvest check and the packing list.
What's inside
The Order Check, at a glance, too late or short (and who to tell), soak tonight and sow today, harvest, seed to weigh and the next 7 days.
Every order-backed sowing for the next 9 weeks: trays, status, soak, lights on, harvest, delivery, seed to weigh and customers. Includes a printable 7-day sowing sheet.
Up to 3,000 sowings: crop, trays, the delivery it is for, status by day, harvest date, usable weight, trays lost and the reason.
For a delivery day: the harvest check per crop (projected or harvested) and the packing list by customer, ready to print.
Up to 1,500 lines: extras, skips and replacements, Confirmed, Tentative or Cancelled, with a check on every line.
Up to 200 standing order lines: every week or every 2-4 weeks, pauses and an end date, so past deliveries keep their numbers.
Light, blackout and stack spaces used day by day for 9 weeks, the days that are over, and what is on the racks on any day.
Up to 30 crops: soak, stack, blackout and light days, yield and seed per tray, seed on hand, and your measured yield from past harvests.
Up to 60 restaurants, shops and markets with contact and delivery notes.
Your farm, units, delivery and sowing days, buffer, growing space, crop timing changes and your own words.
The first steps inside the file, and an example farm (Cedar Row Microgreens) to look around first.
Questions
Does it tell me when to sow?
Yes. Each order becomes trays with a sow-by date (the latest day to sow), a soak time counted back from a morning sowing, a lights-on day and a harvest day, all from your own grow times. Today lists what to soak tonight and sow today.
Does it predict germination, yields or the weather?
No. Grow times, yields per tray and seed rates are the numbers you enter. Your measured yield from past harvests is shown on Crops, and the plan uses it only when you choose it.
Does it text or email my customers?
No. When a delivery is too late or short, Today names the customers to tell. You tell them yourself.
Is it an online ordering portal? Does it take payments?
No. Your customers order the way they do now, and you type the orders. It does not take payments or send invoices.
What does the Order Check look at?
The trays you would need (after the usable trays already sown), the sow-by date under your grow times, your light, blackout and stack space for every day of the grow (a space box you leave empty is not checked), and your seed on hand if you enter it. The first feasible delivery is based on the same numbers: a planning result, not a harvest guarantee. If no date fits within the next 30 days, it says so.
What happens when trays are lost?
Type the trays lost and the reason on that batch's line. If the loss leaves trays still needed, the Sow Plan updates the requirement. Today warns when the delivery is too late or short and names the customers to contact, with the earliest date by grow time (an estimate).
Can I try it before putting in my farm's real numbers?
Yes. Start with the included fictional Cedar Row Microgreens example to explore the Order Check, Sow Plan and rack forecast. Use the separate blank copy when you're ready for your own farm.
Live trays, packs and different units?
Yes. Orders can be by weight (oz and lb, or g and kg, chosen on Settings), in packs of a set size, or as live trays.
Do I need Microsoft Excel?
No. Google Sheets is free with a Google account. It works on a computer and on a phone (free Google Sheets app). If you prefer Excel, the Excel files are included too: a blank file and the example.
How do I get my copy in Google Sheets?
Open the PDF you download and tap a button: a blank copy or the example. Then tap "Use template". A copy is saved in your own Google Drive.
Can I print from my phone?
Print from a computer. In Google Sheets, type the cells named in the grey line at the top of Sow Plan or Deliveries into the Name box, then File > Print > Selected cells. The example farm's 7-day sowing sheet fits one landscape page. Longer sowing lists may need additional pages. Printouts are formatted for US Letter and A4.
How much does it hold?
30 crops, 60 customers, 200 standing order lines, 1,500 order lines and 3,000 batch lines; the plan looks 9 weeks ahead. For a new copy, copy Settings, Crops and Customers and the rows marked Copy to new file.
