Every tuber, from division to pickup

When you divide, type one row per batch: the variety, the bin, the good tubers and seconds. Print a label for each bin. Through the winter, date each bin check and log every loss with its reason. Reservations are filled in a fixed order: packed lines first, then reserved lines and offers by their date. When stock drops, the last lines show Short, and Today tells you whom to contact. When tubers free up, the first waitlist line shows Can offer. On pickup day, print the pick list, bag tags and order summary. Record the batches pulled, update any Short lines after agreeing a change with the customer, and mark fully packed lines Packed.

How it works

  1. Set it upOn Settings: farm name, contact line, currency, season and batch number prefix. On Bins: one row for each bin, crate, box or shelf. In Google Sheets, first set your Locale (country) and Time zone (File > Settings).
  2. Add your varietiesA short code you write on the tubers (CAL), the name, the price and how many you keep for planting.
  3. Record batches as you divideVariety, bin, good tubers, seconds and the date. On Bin Label, choose a bin and print its label or count sheet.
  4. Through the winterDate each bin check on Bins. Log every loss, move, recount and planted tuber on the Tuber Log.
  5. Take reservationsThe customer on Customers, then one row per variety on Reservations. Money goes on Payments.
  6. Pickup dayPrint the pick list and bag tags from Pick Slip, pack from the suggested bins and record the batch used. If a line is Short, agree the change with the customer and update the reservation before marking it Packed.

Questions

Does it text or email my customers?

No. It shows whom to contact and why, and it prints pick lists, bag tags and order summaries. You contact your customers yourself.

Does it take payments or deposits?

No. You take payments the way you do now and record each deposit, payment or refund. The file keeps every customer's balance.

What happens when tubers rot over the winter?

Log the loss on the Tuber Log. Promised tubers are filled in order (packed lines first, then reserved lines and offers by date), so the last lines of that variety show Short, and Today names the customer to contact. The file never decides a refund or a replacement: you do.

How does the waitlist work?

When tubers free up, the first waitlist line of that variety shows Can offer. Add an Offer pending line: it holds the tubers until the customer answers and reminds you to follow up after the number of days you set. It never releases them by itself.

Does it judge which tubers are healthy?

No. Tubers are living things and counts change over the winter. The file counts what you record; it is not plant-health advice.

My prices are changing. What do I do?

Add the new price on Settings > Price changes, dated the day it starts. If a customer's confirmed total changes later, their Agreed total turns red so you can check it before you print.

Does it calculate sales tax?

Yes, a simple tax amount from the optional Sales tax % on Settings. You choose whether shipping is included, or type a different tax amount for a customer. You decide which rates and rules apply. The file does not determine tax obligations, collect taxes or file tax returns, and it is not tax, legal or accounting advice.

Do I need Microsoft Excel?

No. Google Sheets is free with a Google account; on a phone, use the free Google Sheets app. If you prefer Excel, the Excel files are included too: a blank file and the example.

How do I get my copy in Google Sheets?

Open the PDF you download and tap a button: a blank copy or the example. Then tap "Use template". A copy is saved in your own Google Drive.

Can I print from my phone?

Check and update your records on a phone; print from a computer, because the phone apps cannot print a selected range. The printouts are for US Letter and A4. Short orders can fit on one page; longer orders may take more pages. Pick Slip shows up to 60 reservation lines and 20 payments per customer, with a warning if there are more. In Google Sheets, enter the range shown above the slip in the Name box, then choose File > Print > Selected cells.

What about a new season?

Start a new copy with a new batch number prefix and keep the old file as your record. There is room for 400 varieties, 1,000 batches, 100 bins and 3,000 reservation lines.
