Know exactly what you owe every consignor

Type your items and every sale, return and refund as they happen. At the end of the month, Payouts shows each consignor's share of sales, refunds, charges and credits, what was still owed from earlier months, what you have paid and what is carried to next month, with one number to pay now. Amounts below your minimum payout are carried over for you. Print a statement for each consignor, a receipt with your terms when they drop items off, and check the month against your POS before you close it.

How it works

  1. Set it upOn Settings: your shop name and contact line, currency, usual consignor %, consignment period, minimum payout and your drop-off terms. In Google Sheets, first set your Locale (country) and Time zone (File > Settings), before entering dates.
  2. Add your consignorsAn ID, the name and their usual %. Anything you already owed goes under Starting balance.
  3. Tag the itemsTag #, consignor ID, item and tag price, then the agreed % and the date received.
  4. Log every saleEvery sale, return and price refund, with the amount your consignor agreement splits. The item, consignor and both shares fill in by themselves.
  5. Settle up each monthPay what Pay now shows, add the payouts on Payments, print the statements and close the month.

Questions

Does it calculate sales tax?

No. Type sale amounts the way your consignor agreement splits them, on the same basis as your tag prices. The file does not calculate or remove sales tax, GST or HST. It does the math with your own figures and is not tax, legal or accounting advice.

Does it connect to my POS?

No. You type your POS's net sales of consigned items for the month (and, if you like, the item count) and the file tells you whether they match its own totals.

What if I type a line by mistake?

Add a Void: it cancels the line and keeps your history. A line that needs a fix turns light red, the message at the top names its row, Affected payouts are held back until the line is fixed. If the consignor cannot be identified, all payouts are held back. A returned check is a Payout reversal.

Can each item have its own split?

Yes. Each consignor has a usual %, and each item has its own agreed %, so a different split for one item is no problem.

Can my staff use it?

Yes. In Google Sheets, share your copy with your staff and you can all type in it.

Do I need Microsoft Excel?

No. Google Sheets is free with a Google account; on a phone, use the free Google Sheets app. If you prefer Excel, the Excel files are included too: a blank file and an example.

How do I get my copy in Google Sheets?

Open the PDF you download and tap a button: a blank copy or an example. Then tap "Use template". A copy is saved in your own Google Drive.

Which currencies can I use?

Pick one from the list on Settings (US, Canadian and Australian dollars and more) or type your own currency sign. Amounts show 2 decimals, and there is no exchange-rate conversion.

How do the statements print?

On Letter or A4, one page per part. In Excel, use File > Print. In Google Sheets, the line above the statement names the cells to print. Save each statement as a PDF too.

What happens when the file is full?

Start a new copy, type each consignor's balance as their starting balance and copy the unsold items with their original dates and %. For refunds of sales recorded in the old file, use Old-file refund on Payments in the new copy.
