Know if the mall paid you right

Type your items, your terms for each mall and each line of the mall's monthly sales report. Month then shows, for every mall, what it should pay you next to what its statement says, and whether they match. When they differ, Check turns each difference into a polite question you can print and take to the mall office: a fee that is too high, a sale below the discount you allow, an item that is no longer in your booth. Type each payment with the statement it is for, and anything still owed carries into the next month.

How it works

  1. Set it upOn Settings: your name or business, currency and colors. In Google Sheets, first set your Locale (country) and Time zone (File > Settings), before typing dates.
  2. Add your malls and their termsEach mall with its booth, your dealer # and balance at start, then its terms: commission %, rent and how it is taken, card fee, monthly fees and tax on fees.
  3. List your itemsTag #, item and price per piece, then the mall, your cost, the pieces and the date in.
  4. Type each month's reportOn Sales, enter each line of the mall's sales report. For a Return or Refund, type the amount as positive and choose its Type; the file makes it reduce sales. On Statements, enter the statement and each payment, with the statement it is for.
  5. Check itMonth shows Should pay and Mall says for each mall. Check prints the questions for the mall. Count Sheet lists what should be in your booth.

Questions

Does it connect to the mall's system?

No. You type each line of the mall's sales report and its monthly statement. The file checks them against your own items and the terms you typed.

Will it find a sale the mall left off its report?

Not by itself. Lines copied from the mall's report can match and still miss a sale. Print the Count Sheet and count the pieces in your booth. If something is missing, record it on Items as Missing, with the date and number of pieces. Check then makes it a question you can take to the mall. A missing item is not proof that it sold.

My mall changed its rent or commission. What do I do?

Add a new terms row for that mall from the month the change starts. Earlier months keep their old terms, so their results do not change.

How are card fees handled?

The way your mall charges them: on all sales, on the card sales its statement shows, or on your lines marked Card. You set it in the mall's terms, with how card fees on returns are treated.

Does it calculate sales tax?

No. Type amounts exactly as the mall's report shows them; the file does not add or remove sales tax. If a mall adds GST or HST to its fees, set Tax on fees in its terms. The file does the math with your own figures and is not tax, legal or accounting advice.

What is booth profit?

Your sales minus the mall's fees, the month's rent, the cost of the pieces sold and stock losses at cost. It says Incomplete while a cost is missing.

Do I need Microsoft Excel?

No. Google Sheets is free with a Google account; on a phone, use the free Google Sheets app. If you prefer Excel, the Excel files are included too: a blank file and an example.

How do I get my copy in Google Sheets?

Open the PDF you download and tap a button: a blank copy or an example. Then tap "Use template". A copy is saved in your own Google Drive.

Which currencies can I use?

Pick one from the list on Settings or type your own currency sign. One currency per file; amounts show 2 decimals, and there is no exchange-rate conversion.

How do Check and the Count Sheet print?

On Letter or A4, one page per part (6 questions or 30 tags). In Excel, use File > Print. In Google Sheets, the line above the page names the cells to print. Save each Check as a PDF too.

What happens when the file is full?

It has room for 5 malls, 3,000 items, 3,000 sale lines, 600 Statements rows in total (up to 240 monthly statements, with the remaining rows for payments and adjustments), and 48 months. Then start a new copy with your unsold items, their dates and the pieces still in each booth, and type each mall's balance at start. Keep the previous file as your archive.
